Group Manager Primer

Group Managers/Administrators have elevated privileges. Managers can edit the group homepage and how subscription requests (membership requests) are handled.

All groups are listed at http://www.czen.org/og.

You must be logged in as the manager to follow these steps. http://www.czen.org/user/login

The group homepage provides 3 elements: group description/attributes, group block and group content.

Setting up your group description and subscription handling

From any group homepage (e.g. http://www.czen.org/ClearCreek), follow the edit button just below the title of the group.

From the group edit form you can change what is shown in the group description section of the group homepage.

You can also change how subscription requests (membership requests) are handled.

If a field does not apply to your group (NA) just leave it blank.

Location - Click on the map to mark you field site or enter the coordinates directly. Use the zoom tool for more acuracy. This is what allows me to create the field sites map.

Title - The title of your group.

PI - Multiple PIs can be entered. Four fields are supplied by default. If you need more than four just submit the form and edit it again. Four new fields will be supplied.

CO-PI - Multiple CO-PIs can be entered. Four fields are supplied by default. If you need more than four just submit the form and edit it again. Four new fields will be supplied.

Description - A brief description to be used on the group directory listing page. http://www.czen.org/og

Categories - Group type helps organize and filter groups with a controlled list. Keywords also helps organize and filter groups with an uncontrolled list. Both categories accept multiple selections/input.

Continent - Continent the field site resides on.

Soil Order - Soil order of the field site.

Mission Statement - Main description shown on the group homepage. Some HTML markup is accepted. A rich-text editor is provided to help create such markup.

Image - An image that will be shown on the group homepage. Will be resized automatically. Must be less than 1mb.

Subscription requests - This controls how membership requests are handled. There are 4 options. Most groups are either Open or Moderated.

- Open - subscription requests are accepted immediately. The manager will not be notified when users join the group. If you need to share group classified content don't use this option as CZEN users can freely join the group and see all group content.

- Moderated - subscription requests must be approved. The manager will be notified via email when ever a users attempts to subscribe to the group. The member most be approved by the administrator to gain access to group content. This is ideal for a group that needs to share group classified content. The group can still create unclassified content as well by selecting "public" as the audience when submitting new content.

- Invite only - subscriptions must be created by an administrator. Users will not be allowed to request a subscription (membership). All members must be invited by the manager or a current subscriber (member). This is ideal for a group that only published classified content.

- Closed - subscriptions are fully administered by the manager. Subscriptions are created by the manager only.

Managing Subscribers

Logged in users can request a subscription to a group from the group listing page (http://www.czen.org/og) or the group block.



If the group is Open they will be granted a subscription immediately. If the group is Moderated requests will be emailed to the manager and will require approval.

From the # subscribers link in the group block (Can only be seen from group homepage) the manager can manage the current and requested subscribers. From the List tab you can subscribers can be approved, denied, unsubscribed and promoted to be a co-administrator of the group (not advised). You can invite others to join your group by using the Invite friend link in the group block.

Creating Content

Audience

Content posted on CZEN.org can be private (one or more groups) and/or public (no group association required). These post viewing permissions are controlled by selecting the appropriate audience when the content is posted.

Public - Select 'public' if you want the general public visiting the website to see your post. If you do not select public, the content will be private and only available to logged in members of the groups you have selected as the audience. No emails will be sent when selecting 'public'. I often select 'public' and at least one other group.

YOUR GROUP - You should always select YOUR GROUP. This will make it available to logged in members of YOUR GROUP. The content will be listed under the YOUR GROUP page. If it is also marked public it will be visiable to non-logged in users.

Other Group - Select any toher group you wish to have your post cross listed with.

Content Types

Several content types are available for group subscribers to create. Create the following content types by clicking one of the Create links in the group block. Most content types can have attached files.

Announcement - a simple post.

Bibliography - Maintains list of bibliographies including journal articles, conference preceedings, posters, books, proposals...

Dataset - Datasets can be attached as files.

Event - An event is a post which can be given a start and end date, thus appearing in the events calendar.

Image - An image (with thumbnail). This is ideal for publishing photographs or screenshots.

Job - Job announcement

Link - External Link

Poll - A poll is a multiple-choice question which visitors can vote on.
